Information about (Normal) Graduation

Normally final year students will receive an email from the Registry (Graduation Office) in June every year. Please consider that as most important and should read that immediately.


Essential Procedures

  • If you have completed all the required credits for the degree of Bachelor of Computing with Honours in Internet Technology, then the Graduation office will check your record.
  • If you are eligible for graduation, then you will receive a notification and debit note by mail.
  • If you should but do not receive this notification by end of July, contact the Graduation Office (2768-6683) immediately.
  • Usually you will get the Honours degree conferred by early August (subject to the schedule of the Registry).
  • You will also receive notifications about the arrangement of the graduation ceremony and asked to respond if you will attend the ceremony, rental of graduation gown, etc.
Graduation and Ceremony

The graduation and the ceremony (called the Congregation) are two different events.

  • Graduation means the conferment of degree and the graduation list of student is approved by the Senate.
  • Your conferment of a degree is marked by the university by the presentation of a certificate of conferment to each graduate.
  • An academic transcript, listing out the courses taken and their grades etc, shall be issued free of charge only once in respect of each conferment.

Details

  • The congregation is a ceremony, normally held in November/December each year.
  • Students graduating in the August graduation period and the October graduation period will all join the same annual congregation.
Certification Letters

Before and after the conferment of degree, you may apply to the Graduation Office to issue a number of letters for various purposes. Please download the G-CL Form and follow the instruction given.

  • Fulfillment the programme requirements for graduation
    • If you have passed all the courses for graduation, but your degree is not yet conferred, you may apply for this letter for confirmation of your status.
  • To certify the applicants have completed the programme requirements for graduation and the expected conferment month.
    • If you have passed all the courses for graduation, but your degree is not yet conferred, you may apply for this letter for confirmation of your status.
  • The final completion date(s) of the conferred award
    • If you have your degree conferred, and you need to show the date of its conferment, you may apply for this letter.

Issues about Failed One or More Courses in the Final Year Curriculum

This page is relevant to students who have passed all the courses before their final year, but failed one or more courses in their final year curriculum.

  • If you are given a Fail grade, normally you should retake the course or as prescribed by the degree requirement.
  • If you are given a Fail-Resit grade, normally you are allowed to sit the examination in the next regular examination of the course concerned.
 
 

For final year students, however, there are mainly three alternatives you can consider, according to the number of courses failed and your preference.

1. Alternative Assessment and Special Exam

You may be given a special examination or alternative assessment (normally in July) if all the following conditions are met:

  • Fulfilled all the requirements for graduation, but are prevented from doing so because of marginal failure in one course.
    • That is, at least a Fail-Resit grade AND marginal failure.
  • Approved by the School and at the absolute discretion of the School.

Please note the following:

  • The date is set by the School. No other date will be provided.
  • The grade will be capped at 'C'.
  • Students may opt out. They will join the next regular examination as their resit examination.

2. Retake Failed Courses and Hope to Graduate Next Year

If you failed one or more courses, normally you would re-take the course.
  • Core course: you should re-take the core course.
  • Elective course (the IT courses in Year 4): Re-take any elective course of the same type (another IT course for a failed IT course).
There may be other options instead of re-taking the courses in fulltime mode:
  • Retake the same or equivalent course in distance learning mode (if available) to make up for the failed course.
  • Terminate the fulltime programme and switch to distance learning mode. Some credits may not be transferred and counted.

3. Apply to Graduate in the Bachelor of Computing Degree

You may consider transferring to the ordinary degree programme of Bachelor of Computing (BCOMPF) and try to graduate in that degree, if all the following conditions are met:
  • Finished the Year 4 curriculum but unable to graduate in the Honours degree.
  • Passed all courses up to, and including, the Year 3 curriculum.
  • Approved by the School and at the absolute discretion of the School.
  • Approved by the University.
After the transfer to BCOMPF, the students would NOT be allowed to return to the BCOMPHITJ1/2/3 programmes.

You should note the following procedure if you want to take this alternative:

  • As soon as you know the course grades and you decide to take this alternative, write an email to the programme leader to indicate your intention.
  • Your programme leader will do a preliminary check on your case.
  • If you are allowed to proceed, you will be asked to complete the form of Indication of Intention to Transfer into the Programme of Bachelor of Computing (Fulltime) and return to the programme leader.
  • The School will consider the approval of your case.
  • All approved cases will be forwarded to the Graduation Office of the Registry for their handling.
  • The Graduation Office will contact and advise the eligible students. More actions may follow.

BCOMPF degree will usually be conferred in the October/November graduation period.


Frequently Asked Questions on Graduation

When I should start applying for fulltime jobs?
  • The earlier you apply, the better your chance in landing a good job.
  • Graduate trainee programmes from renowned companies may start their recruitment as early as September.
  • Most career related activities start in February.
Can I start working fulltime in June, when the degree conferment is in August?
  • Commercial companies normally do not require your degree conferred when you report for duty.
    • Some companies may need you to produce your graduation certificate at the end of probation period.
  • Some public institutions and the government, due to their strict bureaucracy, require various levels of proof of completion.
    • Some may be satisfied with a Fulfillment of programme requirement letter, others need the actual graduation certificates.
What is the venue of the congregation?
  • The arrangement of the congregation changes after few years.
  • The venues are usually the QEII Stadium in Wanchai and the Asia-World Expo at the airport.
  • The changes in the arrangement are usually prompted by students. Some years students prefer one big congregation, and other years prefer one big and one school level congregations.
