General Questions

The Students’ Union and its affiliated student societies are affiliated to the Student Affairs Office. None of them are registered under Cap. 151 Societies Ordinance.

Each student may serve as an office-bearer in a maximum of two student societies (excluding the HKMUSU Executive Committee and Editorial Board) during any term and may hold the position of Chairman in only one society.

Student societies can submit their annual budget plans via the Societies Management System (SMS) in early April each year. Annual Activity Funding can be used for:   

  1. General Expenditure   
  2. Individual Activities, Seminars, or Performances   
  3. Competitions / Training (for Sports Societies)   
  4. Orientation Camps / Activities

Beyond the standard Annual Activity Funding, the Student Affairs Office (SAO) also provides supplementary funding designed to enhance students’ learning experiences, both locally and globally.

Establishing a New Student Society

There are 3 types of student societies:

  1. School-based Student Associations;
  2. Programme-related Student Societies;
  3. Non-programme-related Student Societies

To apply for registration, the following documents should be submitted to the Committee on Student Affairs (CSA) or Sub-Committee of Student Affairs (Sub-CSA) via Student Affairs Office (SAO) for consideration:

  1.  A completed form of “Application for Establishing a New Student Society and Applying for Registration” which shall include the list of all office-bearers (Form_proposed soc_12/25) (Students / Advisors)
  2. A draft constitution (Students / Advisors)

For the highlighted condition of registration:

  1.  A group of students with common interests on particular areas may form a Non-programme-related student society and apply for registration. The main theme of the proposed society should not overlap with any of the existing student societies.
  2. The following criteria, among others, will be considered for any applications for registration:
  • General benefit to students, the University and the community;
  • Relevance and reasonableness of a society’ s constitution / memorandum / activities;
  • The society complies with existing University objectives and regulations;
  • Membership is not restricted to a designated group/ or groups of students and all active students should be included as potential members;
  • The interests and objectives are clearly distinct from those of other student societies.

Executive committee members are typically elected through an annual election process. Interested students are invited to nominate themselves to the current cabinet before polling.

  1. Complete the Venue and/or Equipment Booking Form for HKMU Students’ Union and HKMU Students’ Union Affiliated Student Societies and submit it at least 10 working days (excluding the day of submission) prior to the commencement of activity.
  2. Approach SAO for venue reservation via email at ssa@hkmu.edu.hk with a detailed activity proposal and the required venue information.
 
Room Availability Checking
  1. Student societies should call Hong Yip at 3120 2413 to check the availability of Multi-purpose Hall or Agile Sports Hall.
  2. The availability of tutorial rooms, lecture theatres, auditoriums and classrooms can be found using the Room Enquiry Function on Student Mobile App.
 
Reservation of Furniture and Equipment Support

Student societies can submit the application for furniture and equipment support to the SAO.  In general, foldable tables, chairs, notice stands, table clothes, microphones, and etc. are available for loan.

Student societies are required to register their activities via the SMS annually. For any ad hoc collaboration, please contact SAO at ssa@hkmu.edu.hk for further discussion. 

Normally, the subsidy will be provided on a reimbursement basis. Advance payment for large amount of expenditure, such as accommodation and facilities of the orientation camp, could be arranged directly to the suppliers from the Finance Office via SAO, subject to the presentation of the invoices and the supporting documents from student societies.

The amounts of advance payments to be settled by the University would not exceed the level of support granted to the student society by CSA; therefore, please ensure the supplier accepts payment by instalment before making any requests for advance payment to SAO.

For reimbursement, original official receipts and receipts endorsed by two designated office-bearers of the Student Society should be submitted within two months upon the completion of the activity. Late submission and e-copies of the original receipts will not be entertained.
