Deferment of Studies

Students may apply for deferment of study until a later date if they have a genuine need to do so, such as illness or medical emergency, please submit an application via MyHKMU with proof of medical advice and/or other supporting documents to Registry. Please refer to the application deadline on the Academic Calendar. Late application will NOT be considered.

A student who has applied for deferment of studies shall continue with his/her studies and attend classes until formal approval is given by the University.  The maximum period allowed for deferment of studies shall normally be one year. For more details, please refer to the section of “Deferment of Studies” according to 5-credit-system or 3-credit-unit system of your programme in the Student Handbook.

Important Notes

  • A student must complete all graduation requirements of his/her programme of study within the maximum study period. The maximum period of study of a student shall include any periods of leave of absence and suspension of studies. A student who fails to complete all graduation requirements of his/her programme of study within the maximum study period shall be terminated from his/her studies. Students shall refer to the programme regulations (5-credit System) or programme regulations (3-credit-unit System) for details.
  • [Only applicable to students in 5-credit-system] The University, at its discretion, may also consider applications for deferment of studies if a student is required, owing to previous failures in University courses, to resit two or more examinations in any one term.
  • Student who have been admitted on a full-time postgraduate programme are normally required to defer all ongoing courses irrespective of study mode.
  • For students who wish to apply for the Continuing Education Fund (CEF), any deferment of studies for a course for which you intend to claim reimbursement would mean that the completion date of the course would be deferred. It is the CEF applicants' responsibility to observe and enquire with the Office of CEF on the related procedures for special circumstances.

Withdrawal from Studies

A student who wishes to withdraw from studies at the University shall submit an application for withdrawal to the Registrar via MyHKMU at least 14 days before the start of the examination period of the relevant term

For withdrawal from a programme, if approval is granted, all courses on which a student has enrolled within the term or year concerned shall be withdrawn. For withdrawal from a course, application shall only be considered if a student can still fulfil the required study load per term upon withdrawal. The record of withdrawal shall be entered into and remain in the student's academic record. The student shall not be entitled to a refund of any tuition fees already paid, in part or in full.

A student who has been de-registered involuntarily or withdrawn from his/her programme at the University for not more than one year but wishes to have his/her  student status reinstated shall submit a written application for registration to the registrar no later than two weeks after the commencement of an academic term. Such an application shall be accepted at the absolute discretion of the University and subject to full payment of tuition fees and late registration fee, if applicable. A student who has discontinued studies for more than one academic year shall seek to apply for re-admission to the University following the usual admission procedure.

Students who do not submit assignments or attend the examination without having formally withdrawn will be given a Fail grade for the course.

All fees paid are non-refundable for students who withdraw from their studies. 

Maximum Duration of Studies

[For students in 5-credit system] The period of study from admission to and satisfactory completion of the programme shall normally be no more than six years. In certain cases, the School may stipulate a period of less than six years for individual programmes. Students shall refer to the relevant programme regulations (5-credit System) for details. A student must complete all graduation requirements of his/her programme of study within the maximum study period including any periods of leave of absence. A student who fails to complete all graduation requirements of his/her programme of study within the maximum study period will result in termination of study.

[For students in 3-credit-unit system] Each programme shall specify in the Programme Requirement its normative period of study (N) from admission to the satisfactory completion of the programme. The maximum period of study of a  programme shall be the normative period of study plus two years (N+2 years) and shall include any periods of leave of absence and suspension of studies. Students shall refer to the relevant programme regulations (3-credit-unit System) for details. A student must complete all graduation requirements of his/her programme within the maximum period of study. A student who fails to complete all graduation requirements of his/her programme of study within the maximum study period will result in termination of study.
