Forming Alumni Groups

Alumni Alumni Groups Network Forming Alumni Groups

Don't let university life just end after graduation! Forming an alumni group and gathering regularly with schoolmates having similar educational background, interests, and social networks will benefit you, your schoolmates and upcoming graduates. The group you form will also contribute to your alma mater's continuous development.

What you should consider before forming an alumni group
While forming an alumni group takes only a few steps, it is a long term commitment to the MUHK and your fellow alumni. We suggest you think about the following:
  • Am I an HKMU alumnus/ alumna#?
  • Do I have enough time to manage the group?
  • Do I have alumni friends who find common cause and are willing to commit and contribute to the group as executive members on the long term?
  • Can I come up with a feasible mechanism to ensure the sustainable growth of the group; for example, how to recruit new members and form committees?

#HKMU alumni are those who are our graduates, or have obtained at least five credits and are currently not studying with us for five consecutive semesters.

Four steps to establishing an alumni group

1. Think about the name and objectives of the group.

2. Form an organizing committee with at least five members, including:

  • Chairperson
  • Secretary
  • Finance Director
  • Director of Membership
  • Director of Public Relations

3. Please read carefully the Policies and Guidelines for HKMU Alumni Groups and submit the following documents to the Alumni Affairs Unit (AAU):

  • Letter to the President of HKMU
  • Constitution
  • Activity plan in the first two years
  • Membership plan
  • Financing plan
  • Alumni group logo (if any)

4. The AAU will confirm your application with the HKMU President's approval. You can then register with EITHER (a) the Hong Kong Police's Societies Office to set up a Society; OR (b) the Companies Registry to form an Association (operating as non-profit making company limited by guarantee).

Support from alma mater

The AAU will support alumni groups by:

  1. Reserving venues on the HKMU campus for alumni groups' activities upon booking;
  2. Providing publicity support for alumni groups' activities, through channels including the HKMU alumni portal, HKMUAAU Facebook, the alumni e-newsletter Alumni Linkage;
  3. Sending eDM to alumni for promotion of alumni groups' activities; and
  4. Authorizing alumni groups to use the HKMU's name, assigned logo and address on their stationary and event materials, subject to prior approval by the AAU.
Alumni group's responsibilities

By officially organizing an alumni group, you have the responsibility to:

  1. Be self-sustained and financially independent;
  2. Hold an Annual General Meeting (AGM), inform the AAU in advance and submit the following documents to the AAU within two months after the AGM
    –  Report of the AGM
    –  Activities report
    –  Financial Statements

The HKMU reserves all rights to suspend or terminate an alumni group if it cannot fulfill any of the responsibilities mentioned above.
